Time-based and meter-based triggers

Calendar schedules create work by date. Meter schedules create work when a reading advances far enough. Condition schedules create work when a linked meter crosses a threshold you set.

  • A calendar schedule can be fixed — staying on the original grid, which is what an inspection record needs — or floating, resetting from the last time work was generated.
  • Meter schedules run off runtime hours, cycles, starts, mileage, or a custom reading you define on the asset.
  • Condition schedules use the warning and critical thresholds on the asset’s own meters.

Work orders that arrive already filled in

Every PM starts from a template, so the work order landing on a technician’s phone carries the task list, the expected hours, the required parts and any qualification the job needs.

  • Each step can require a photo, a numeric reading, or an acceptance criterion — measurements, not just tick boxes.
  • Apply one template across an asset class, so eight air handlers get the same inspection rather than eight interpretations of it.

PM compliance and MTTR, per facility

The compliance report shows hit rate per asset, per technician and per facility. The operations reports track how long repairs are taking. Both export as PDF or CSV.

Setting up schedules will take weeks.

Start with the assets you cannot afford to lose — generators, transfer switches, air handlers, chillers, pumps, boilers, life-safety systems — and use one template to cover the rest of the class in a single pass. PM context comes in through the CSV import alongside your assets, so an existing spreadsheet is a starting point rather than a rewrite. The generator is deliberately conservative. If a preventive work order is already open on an asset, the next occurrence is held rather than stacked on top of it. Condition schedules latch, so a reading sitting over its threshold does not raise the same inspection every night. And any schedule can be paused while an asset is out of service or the PM is being redesigned.
