Notifications, Digests, and Reaching the Right People

Tune notification categories by channel, lean on the daily digest, use mentions sparingly, and configure on-call routing for after-hours coverage.

Categories and defaults

Under Settings, Notifications, notifications split into Direct (mentions, assignments, approvals), Equipment alerts, Team activity, System, and Product. Each category has independent channel settings for in-app, email, SMS, and push. A pattern that holds up: real-time email for Direct and critical Equipment alerts, digest email for other Equipment and Team activity, important-only for System, and weekly for Product. Reserve SMS for critical equipment alerts and critical Direct items.

The daily digest

The digest is one email at the start of your day listing your assigned work orders by due date, PMs scheduled today, overnight alerts, and unread inbox items. Configure cadence under Settings, Notifications, Digest cadence: once daily (7am local), twice daily, or off. For most people it is the single most useful notification.

Mentions and on-call

Use @mentions when you need a specific person, the work is blocked on them, or you want them to read a comment; do not mention for FYI. Admins can set org-wide defaults under Settings, Notifications, Defaults. Configure shifts under Settings, On-call schedules so equipment alerts route to whoever is on-call when they fire. A stale rotation paging the wrong person is worse than none.
