Importing and Exporting Data

Importing

Settings then Import opens a wizard for assets, work orders, PMs, parts and inventory, vendors, and users (admins only).

1. 01Upload CSV by drag and drop or paste.
2. 02Map columns; Rivolq makes a best guess.
3. 03Preview the first 50 rows with errors highlighted.
4. 04Resolve errors such as missing fields or duplicates.
5. 05Commit; it runs in the background and emails you.

Imports over 5,000 rows process in batches and can re-run from a failed batch.

Deduplication

Imports match existing records before creating: assets by serial number or name plus facility, parts by part number, vendors by name plus contact email, users by email. Matched records are updated by default.

Gotchas and exporting

Use ISO or MM/DD/YYYY dates, set locale for decimal commas, watch trailing whitespace, and use UTF-8 encoding. Export three ways: per-page Export buttons, Analytics then Reports (PDF or CSV), and Settings then Scheduled exports to email, S3, or webhook. Import in dependency order: facilities, assets, PMs, work orders.
