Creating one

Every repair, inspection, install, and PM run lives as a work order. Click + New work order in the top bar, or open Work orders and click New. Complete these fields:

  • Title: short and specific, like Replace gasket on Pump #4.
  • Description: what is wrong, what was tried, what is expected. Photos help.
  • Asset: search by name or scan a QR code. Create the asset first if needed.
  • Facility / zone: pre-fills from the asset; override if needed.
  • Priority: Critical, High, Medium, or Low.
  • Type: Corrective, Preventive, Inspection, Install, or Investigation.
  • Assignee: a person or role; leaving it unassigned uses the team queue.
  • Due date: drives scheduling and SLA reports.

Priority and lifecycle

Use Critical only for safety risk, regulatory exposure, or production-down. High is production-degraded; Medium is the default; Low is cosmetic. Overusing Critical makes it meaningless.

Work orders move through Open, In progress, On hold, Completed, and Verified / Closed. Closed records stay searchable and attached to the asset.

Tips and mistakes

QR-scan to pre-fill, use templates for repetitive jobs, attach before and after photos, and log time as you go. Avoid no asset attached, stuffing multiple jobs into one order, overusing Critical, and closing without notes.
